DataChef is growing, and Ashkan, our CEO, needs an extra pair of hands, eyes, ears, and for sure more headspace to focus on the long-term future of the company. Without partnering with a trustworthy assistant, as his right hand and shadow, this wonât be possible.
Youâre an experienced Executive Assistant, so you probably know what it takes, but some things might be different here from what youâre used to.
For example, Ashkan is always available to you. You wonât need to chase and wait and chase again, for youâll find it easy to communicate, spar, and have short chats whenever itâs needed.
And with us you will become the âTechie Executive Assistantâ. We are huge on automation tools and tech, and after a few weeks with DataChef, you will be highly driven with such tools to make your work easier and faster. During your time with us, and for the rest of your career.
What youâll do
Since you'll be working so closely together, we asked Ashkan, CEO, to write about your new job, and to put it in his own words, which he did in the paragraphs below.
- Research! a few real examples:
- Youâll research tools, services, people, and companies. My requests may sometimes be vague, but I will make sure you know why itâs important, and Iâll trust you to find out what/who/how and to summarize it with me.
- Routine office administrations; examples:
- Relationship management and Communications; examples:
- Youâll manage my email inbox and my LinkedIn. I wonât check it unless you ask me to reply to a message personally.
- Youâll select, buy and track delivery of gifts on an ad-hoc or periodic or occasional basis (Christmas, Nowruz, birthdays, etc.).
- Youâll remind me of when and where I should call someone, meet someone in person, or shake hands to offer my congrats, condolences, etc.
- Events & Travels; examples:
- Youâll own planning my travels, end to end, which means taking care of all details like flight, hotel, lounge, and car.
- Youâll plan and host internal work-together days or fun get-togethers at co-working places or cafes.
- Youâll plan and (co-)host events and get-togethers related to business development in close collaboration with our Partners and Clients.
- Youâll own the logistics of our yearly retreat by booking hotel, flight, transportation, visa arrangement, currency exchanges, etc.
- Finance & Legal; examples:
- Youâll help to either drive or contribute to certain F&L related projects like subsidy applications, or accountancy related matters.
- Youâll help to deliver all procurement documents and proactively chase procurement partners for approval status.
- Youâll help to keep our legal documents up-to date like NDAâs, contracts and chamber of commerce files.

- Being an exemplary:
- 5+ years of experience in administrative and/or coordination positions, where systematic and ruthless follow-ups were a must and tasks falling through the cracks were not an option.
- 2+ years of experience in a start-up/ scale-up company where you had to create SOPâs and/ or guides where there werenât any before. You are not afraid of creating a process.
- D.R.Y mindset (Donât Repeat Yourself). When processes get repetitive, you find a way to automate them yourself or shape up the issue with our Internal IT Team.
- Passion for writing. DataChef is all about running and growing a business with an engineering mindset and you must love taking notes, compiling checklists, creating beautiful Notion pages which people enjoy reading, and making/updating s.
- Being cool, calm, and collected. From time to time, life can become stressful in a fast-growing scale-up like DataChef. Itâs important to know how to remain calm, resilient, and keep a level head in those days.
